We should write a checklist how to organize a meeting. It could look like this:

before

set date and time
reserve location
find moderator
find presenters
find activity
publish meeting on website, twitter, mailinglist,
create a poster
invite all contacts, companies, communities

after

write blog post
post on twitter
thanks to host
